We're looking for someone who can take care of our beautiful new office and make sure everything runs smoothly.
You'll be responsible for our 250m² office space located between St:Eriksplan and Fridhemsplan by the waterfront. This includes making sure the office is spotless, organizing, fetching mail, buying the occasional Swedish "fika" and making sure everyone in the Karma team is at their best!
Managing offices can be a tremendous amount of responsibility. You'll have your hands in every aspect of the company.
Skills we're looking for in you
You'll train new employees, supervise assistants, conduct general business operations, maintain paperwork and personnel records, take charge of mail processing, schedule meetings and in general be an important decision maker!
Part of your job will be to find ways to do your job better. A great office manager will always be asking herself of all process, practices, and procedures, “does this make sense? Is this the best we can do?".
Attention to detail
The office stops working with you! You will be responsible for ordering the correct office supplies in a timely way, for maintaining records accurately and in an organized manner, and for keeping track of the needs and issues of everyone else in the office. If you do it right, the office will seem to run itself. If you get a small detail wrong, other people may be unable to do their jobs.
You will often be one of the first people visitors and employees at Karma see, and you may at times be the only one they see. You'll act as an effective receptionist while simultaneously carrying out your other duties.
You may have to practice conflict resolution. You will at times have to delegate work. All of that adds up to a lot of communication, both written and verbal, all of which must be accurate, efficient, friendly, and professional at all times.
It's important that you have a wide range of computer skills (or are willing to learn!). This involves normal computer tasks like Google Sheets/Docs, Word, Excel and similar.
You'll handle the basics of bookkeeping by taking care of receipts, invoicing, budgeting for the office space and more.
Interpersonal skills play a large role in being an office manager. You'll need to have a positive attitude, greet visitors and engage in teamwork. Also, what would the office be without great humor and good fun? :)
You'll be responsible for the most important task in the office of keeping everyone motivated and coordinated! This means you're setting a standard for everyone else's work and helping people to grow in their roles and careers.
